How it works

Step 1: Sync your account

Use our secure service to sync your Microsoft 365 account.

Step 2: Select which contacts to invite

Easily select the contacts you want to invite to your monthly email campaign.

Note: By importing these contacts, you certify you have lawful grounds for the processing of the email addresses in accordance with our terms and conditions.

Guide to selecting new contacts

Lawful grounds for processing an email address includes having consent and/or a legitimate business interest to contact an individual with an existing business relationship.

An existing business relationship can be identified based on the following guidelines:

The individual made a purchase within the last 24 months
The individual received a quotation, made an enquiry, engaged in a discussion or asked a question regarding a product/service within the last 12 months.

Step 3: Your contacts are added to your monthly campaign

The new email contacts you selected will appear as a new subscriber list in your Campaign Monitor account and automatically included in your next campaign.

Note: If you don’t want these new subscribers included, simply uncheck this list on the self-approval page when you receive your next campaign.

Step 4: Share with your team

Share the link with your sales team so they can add their audience as well.

Who controls the contacts I choose to import?

As always, you retain control over your subscriber list. This can be accessed at any time, by logging into your Campaign Monitor account.

What about my contacts already in Campaign Monitor?

Campaign Monitor is able to identify duplicate email addresses in your account so your subscribers will only receive the campaign once, even if they exist across multiple lists in your account.

How can I ensure only relevant contacts are added?

Before displaying your contacts on the selection page of List Build, we run a check that removes any domains that we believe aren’t relevant (i.e. Uber, Airbnb or IT vendors).

This means the displayed list is refined to only show contacts that may be real previous or current clients.

What do I need to consider when selecting contacts?

It is important to remember that you still have an obligation to comply with privacy laws when you are identifying which contacts to your subscriber list.

In particular, you need to make sure that you have a lawful basis for the processing of the individual’s personal information such as expressed consent or legitimate business interest.

An existing business relationship can be identified based on the following guidelines:

- The individual made a purchase within the last 24 months;
- The individual received a quotation, made an enquiry, engaged in a discussion or asked a question regarding a product/service within the last 12 months.

What happens to the contacts I don’t want to add?

No data is retained for any contacts you choose not to include. On the selection page of List Build, you choose who you would like to import into Campaign Monitor, no additional information is stored. Please refer to our terms and conditions for more information.

Who else can use this?

Anyone! We actually recommend you forward on your invite link to your sales reps and colleagues as everyone has different contacts. Any contacts your colleagues add will go into the same subscriber list in Campaign Monitor.

Can I revoke access to this service at any time?

Yes, simply request it from us and we can un-sync this integration from your account. We don’t save credentials, so you will have to re-sync your account to use the service again.

Alternatively, you can also revoke access from us through your Microsoft 365 account.
